What data is collected during a visit to our website?

During a visit to our website, a cookie (text file that is transferred from a webserver to your computer) automatically collects some general information (server log files) on the visitor. This information may contain the type of your web browser,  your operating system, the domain name of your internet service provider and other generic data. This is exclusively anonymous information, which does not enable us to identify you.

Collecting this information is necessary to optimally display the content on our website, and to ensure trouble-free connection establishment and use of our website. Cookies cannot be used to start programs or to transmit viruses to a computer.

Naturally, you can use our page without cookies. Internet browsers usually accept cookies per default, so you most likely will have to deactivate this functionality manually in your browser options. Please note that some parts of our website may not work well if your browser does not accept cookies.

We do not collect this data to draw conclusions about your person. Anonymous data from cookies is evaluated statistically to improve our web presence.

Authentication, user account, forum, and newsletter

To place an order with Projekt Neptun, you are required to identify yourself as an eligible customer. The authentication is provided by your SWITCH-aai login. For customers without a SWITCH-aai login, authentication happens through a form in which personal data is collected to ensure your eligibility. This personal data is being stored for validation purposes.

Registration or creating a user account is not a requirement to utilize the Projekt Neptun Support or our download services. During the registration for the aforementioned services, we collect some personal data like your name, address, contact data, university affiliation, or field of study. If you make use of our chargeable services, we may need to collect more personal data, such as your billing address, to be able to create an invoice. We will store this data for the duration of the record retention periods mandated by law. To protect the security of your data during transmission, we use state-of-the-art encryption methods (e.g. SSL) via HTTPS.

To post comments in our support forum, you will need to register. We will store the date and time as well as your username while you make your post. This is done to ensure that no illegal content can be posted on our forum since we are liable for all contents on our website.

Based on your express consent, we will send you a newsletter before each Neptun Sales Wave with information on our current offers. This newsletter will be sent to the e-mail address you registered with us. Our subscribers may also receive additional e-mails with information on our services (i.e. changes to our newsletter, our registration services, or technical topics).

You can unsubscribe from our newsletter at any time by clicking on the appropriate link in the newsletter or by contacting us at kontakt@projektneptun.ch.

Support services

If you contact us with questions of any kind by e-mail or contact form, you give us your voluntary consent to use your data to assign and process the inquiry. The information provided by you will be stored in your user account or our e-mail server for the purpose of processing the request and for possible follow-up questions.

Use of Google Analytics

We make use of Google Analytics, a web analysis service by Google Inc. (following: Google), which allows for an analysis of your use of the website by means of cookies. The data generated by your cookie are usually transmitted to and stored on servers in the USA. However, due to the activation of IP anonymisation on the relevant websites, your IP address will be shortened by Google within EU member states or in other signatory states to the Agreement on the European Economic Area. Only in special cases will the full IP address be transmitted to a Google server in the USA and shortened there. Google will use this information to evaluate your use of our website, to compile reports on website activities and to provide further services associated with website and internet use. The IP address transmitted by your browser in the context of Google Analytics will not be combined with other data from Google.

You can prevent Google from collecting the data generated by the cookie and relating to your use of the website (including the IP address) and from processing this data by Google by downloading and installing the browser plug-in available under the following link: Browser add-on to deactivate Google Analytics.

Use of script libraries (Google Web Fonts)

In order to present our content correctly and graphically appealing across all browsers, we use script libraries and font libraries such as Google Web Fonts (https://www.google.com/webfonts/). Google Web Fonts are transmitted to your browser’s cache to avoid downloading the same content multiple times. If your browser does not support Google Web Fonts or does not allow access, content is displayed in a default font.

Use of Google Maps

We use Google Maps API to visualize the locations of our help points and demo days. When using Google Maps, Google collects, processes, and uses data about the use of map functions by visitors. You can find more information about Google’s data processing in the Google Privacy Notice and change your personal privacy settings.

Embedded YouTube videos

On some of our websites we embed YouTube Videos. Operator of the corresponding plug-ins is YouTube, LLC, 901 Cherry Ave, San Bruno, CA 94066, USA. When you visit a page with the YouTube plug-in, a connection to YouTube’s servers is established and they are informed, which website you visit. If you are logged into your YouTube account, YouTube can recognize you surfing behavior. To prevent this, log out of you YouTube account beforehand. When starting the YouTube video, the provider uses cookies that collect information about your user behavior. If you have deactivated cookies for the Google Ad program, no cookies will be created. YouTube also stores anonymous user information in different cookies. To prevent this, you must deactivate cookies in your browser. More information on privacy at YouTube can be found in the provider’s data protection declaration at: https://www.google.de/intl/de/policies/privacy/

Changes to our data privacy statement and language

We reserve the right to make changes to our data privacy statement, so that it always reflects the current state of the law, or to adapt it to reflect the addition of new services. The new data privacy statement will then apply for the new visit. The relevant language for this data privacy statement is exclusively German, even if translations into other languages exist.

Creation date of the data privacy statement: May 2018.
